This policy explains what personal data Mahabir Multi Tech Private Limited collects through mmtacoustix.com, why we collect it, who we share it with and what you can ask us to do with it. It is written to India’s Digital Personal Data Protection Act, 2023 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.

Who we are

mmtacoustix.com is operated by Mahabir Multi Tech Private Limited, which trades as MMT Acoustix®. We manufacture and supply acoustic and soundproofing materials. For the purposes of the Digital Personal Data Protection Act, 2023, we are the data fiduciary for personal data collected through this website.

What this policy covers

This policy covers personal data we collect through mmtacoustix.com and through the enquiry, quotation, dealership and consultation forms on it. It also covers email, telephone and WhatsApp conversations that follow from those enquiries.

It does not cover our retail store at mmtacoustixonline.com, which runs on a separate platform and publishes its own privacy policy, nor any third-party website you reach from a link here.

Data we collect

Data you give us

We only ask for what we need to answer an enquiry and quote a project. Depending on which form you use, that is:

Identity and contact
Name, company name, email address, telephone or WhatsApp number, city and country.
Project details
Project type, treatment area and units, the room or building involved, budget band, expected timeline and anything you write in the message field.
Partnership details
On the dealership form only: business type, distribution region, stocking space, years of experience in building materials or acoustics, and the product lines you are interested in.
Preferences and consent
How you would prefer to be contacted, and the consent box you tick when you submit a dealership or consultation form.

We do not ask for financial account details, government identification numbers, health information or any other category treated as sensitive personal data under the 2011 Rules. Please do not send them to us through these forms.

Data collected automatically

Our hosting and security provider records standard technical data for every request: IP address, browser and device type, the page requested, the referring page, and the date and time. This is used to serve the site, block abuse and understand which pages are read. See the Cookie Policy for what is stored in your browser.

Data from other sources

If you contact us through a marketplace, a trade platform or a social network, we receive whatever that platform passes on with your enquiry, which is normally your name and contact details.

Why we use it

  • To answer you: to reply to an enquiry, prepare a quotation, recommend a specification and arrange samples.
  • To supply an order: to raise documentation, coordinate dispatch and handle after-sales questions.
  • To assess a partnership: to evaluate a dealership, distribution or OEM application.
  • To keep records: to meet our obligations under tax, company and commercial law.
  • To improve the site: to see which pages and products people look for, in aggregate.
  • To tell you about our products: only where you have asked us to, and every such message carries an unsubscribe option.

We do not sell personal data, and we do not share it with advertisers or data brokers.

Our lawful basis

Under the Digital Personal Data Protection Act, 2023 we process your personal data on two bases. The first is your consent, given when you submit a form, which you may withdraw at any time. The second is legitimate use, where you have voluntarily given us data for a purpose and have not objected to it being used for that purpose, and where we must keep records to comply with Indian law.

Withdrawing consent does not affect anything we did with your data before you withdrew it, and we may still need to keep records we are legally required to hold.

Who we share it with

We share personal data only where it is needed to do the thing you asked for, and only with the following categories of recipient:

  • Our own team: the sales, projects, technical and dispatch staff handling your enquiry, at our Delhi office and Palwal plant.
  • Processors acting for us: our website host and security provider, our email provider, and the tools we use to record and follow up enquiries. They act on our instructions and may not use your data for their own purposes.
  • Logistics partners: the courier or transporter carrying your samples or order, who receive the delivery name, address and phone number only.
  • Professional advisers: our auditors and legal advisers, where relevant.
  • Authorities: where we are required to disclose by law, by a court, or by a government agency acting under a valid legal power.

If the business or a part of it is ever transferred, personal data may transfer with it, subject to the same protections set out here.

Where it is stored

Our records are held in India. Some of the services we use to run the website and our email operate from servers outside India, so your data may be processed abroad. Where that happens we rely on the service provider’s contractual commitments to protect it to the standard this policy describes, and we transfer only to countries not restricted by the Central Government under the 2023 Act.

How long we keep it

We keep personal data only as long as it serves the purpose it was collected for, or as long as the law requires, whichever is longer.

Enquiries that do not convert
24 months from our last contact with you, after which the record is deleted.
Customer and order records
For the period required under the Companies Act, 2013 and the GST law, currently eight years from the end of the relevant financial year.
Dealership applications
24 months from the date of application where it does not proceed.
Server and security logs
Up to 12 months, and only for security and troubleshooting.

Once a retention period ends, the data is deleted or irreversibly anonymised.

How we protect it

The site is served over HTTPS and sits behind a security and bot-protection layer. Access to enquiry records is limited to the staff who need it, on accounts issued to named individuals. Our processors are engaged under terms that require them to keep the data confidential and to use it only for us.

No method of transmission or storage is completely secure. If a personal data breach occurs we will notify the Data Protection Board of India and affected individuals as the 2023 Act requires.

Your rights

As a Data Principal under the 2023 Act you may ask us to:

Give you access
A summary of the personal data we hold about you, what we are doing with it, and who we have shared it with.
Correct or complete it
Fix data that is inaccurate or misleading, complete data that is incomplete, and update data that has gone out of date.
Erase it
Delete personal data we no longer need, unless we are required by law to keep it.
Withdraw consent
Stop processing that rests on your consent, with effect from the date you withdraw it.
Nominate someone
Name a person who may exercise these rights on your behalf in the event of your death or incapacity.
Raise a grievance
Complain to us about how we have handled your data, and receive a reply.

Write to the address in the last section. We will respond within 30 days of receiving a request. We may ask you to confirm your identity before we act, so that we do not disclose one person’s data to another. If you are not satisfied with our response you may complain to the Data Protection Board of India.

The 2023 Act also places duties on you as a Data Principal, including not raising false or frivolous grievances and not giving us details that you know to be false.

Children

This is a business-to-business website and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us personal data, write to us and we will delete it.

Changes to this policy

We update this policy when our practices or the law change. The effective date at the top of the page always shows the current version. Where a change materially affects how we use your data, we will say so on this page before it takes effect.
